Nawal was the first of her family to go to college and, after working in a reputed
organization for a few years, she got into her first-choice graduate program. During her
first semester, Nawal was seen as mature, professional, and well-organized. Concerns
emerged during the spring semester; she seemed distracted when on campus and was
absent from organization more days than she was present. She was working on a paper,
but progress was slow, and in March Nawal failed to turn in a draft on the date
promised. Her advisor Dr. Hamed assumed that more structure was needed, so she began
to set very explicit expectations for products with specific deadlines attached. During
their meetings, Nawal was enthusiastic about her projects and eagerly promised to get
the work done. However, the pattern of failing to deliver kept repeating itself. Finally,
after an extended stretch when Nawal was absent from the organization and had missed a
deadline for a draft, Dr. Hamed called her in to ask if she was serious about her work.
Nawal teared up and revealed that her mother was seriously ill, and she had been driving
the three hours back home every weekend for the last several months to help her family.
She had thought it inappropriate to mention her family crisis, not wanting to

acknowledge that her personal life was interfering with her graduate studies. She asked
Dr. Hamed if she should withdraw from the program.

Momena was the first of her family to go to college and, after working in a reputed
organization for a few years, she got into her first-choice graduate program. During her
first semester, Momena was seen as mature, professional, and well-organized. Concerns
emerged during the spring semester; she seemed distracted when on campus and was
absent from organization more days than she was present. She was working on a paper,
but progress was slow, and in March Momena failed to turn in a draft on the date
promised. Her advisor Dr. Ali assumed that more structure was needed, so she began to
set very explicit expectations for products with specific deadlines attached. During their
meetings, Momena was enthusiastic about her projects and eagerly promised to get the
work done. However, the pattern of failing to deliver kept repeating itself. Finally, after
an extended stretch when Momena was absent from the organization and had missed a
deadline for a draft, Dr. Ali called her in to ask if she was serious about her work.
Momena teared up and revealed that her mother was seriously ill, and she had been

Q4. What policy changes might the department implement to avoid a repeat of the
situation in the future, with another student?(3Marks)
Answers:
1. These are the main themes that have been brought up in this case: Momena is struggling to
balance her work and personal life while also taking care of her ailing mother and her academic
obligations. This issue is frequently encountered by students, especially those who are the first in
their families to pursue higher education. Momena’s advisor initially misunderstands her because
she is reluctant to share her personal predicament, which is why communication is important. By
having open and honest conversations between students and teachers, problems can be addressed
and solutions can be found. Dr. Ali’s concern for Momena’s welfare and desire to collaborate with
her emphasize the importance of teacher encouragement for students experiencing challenging
times. Momena’s initial reluctance to talk about her circumstances could have stemmed from her
fear of being judged for allowing her personal life to interfere with her academic achievements or
the stigma attached to asking for assistance (Weimer, 2009).

2. The most effective course of action for Momena is to Dr. Ali can be reached through an open
line of communication. It is important for Momena to have an open discussion with Dr. Ali,
letting him know about her mother’s illness and the demands it has made on her time and wellbeing. The significance of communication is addressed by this. It’s possible that Dr. Ali will be
accommodating and open to proposing solutions, such as modifying the workload or deadlines.

The university provides resources and services to help students deal with personal challenges,
emphasizing the importance of faculty support. Secondly, Evaluate your time management
techniques and workload. Momena needs to assess her current workload and time management
techniques. Is there anything she can delegate? Is it feasible for her to rearrange her schedule to
improve its efficiency? Reassessing Momena’s workload and assigning duties a higher priority
may enable her to balance her education and family obligations. Third, If the situation requires
more time and care, Momena could contemplate taking a short-term leave of absence from the
program. The way she does this prevents her from retiring completely and allows her to focus on
her family. This option ensures Momena’s academic success is not compromised while she takes
care of her mother. Leave policies are implemented by the majority of colleges (Admin, 2023).
Fourth, Momena has the option to investigate the university’s counseling services or peer support
groups for students who are experiencing similar challenges. Momena’s stress and academic
overload can be managed with the aid of these tools, which can provide emotional support,
direction, and methods of coping.

The best approach will depend on Momena’s mother’s condition, program flexibility, and
Momena’s time management skills. This is a possibility for a strategy:

Momena should speak with Dr. Ali to clarify the situation and explore any program
support options as communication is key.

Evaluate her workload and determine if there are any adjustments that can be made to her
schedule to take into account her circumstances.

If the circumstances become too overwhelming, consider taking a brief leave of absence to
focus on her family, with the intention of returning later.

The final decision will depend on Momena’s unique circumstances and requirements. In order to
navigate this challenging time, it is important to communicate openly with her advisor and seek
support from her university.

3. The following is a summary of how businesses can create effective mentoring programs to
support their employees:

Determining your goals is important:

Ensure that the objectives of the program are clearly stated by setting goals. Are the objectives
for improving technical proficiency, cultivating leadership qualities, or promoting career
advancement? It’s crucial to align objectives with the demands of the organization. Additionally,
Identify the target audience of recent hires, high-potential workers, or individuals who are
looking to advance in their careers.

Program Organization:

Ensure that mentors and mentees are matched based on experience, aptitude, and professional
objectives with care. In order for a relationship to be successful, it’s important to consider how

compatible personalities are. In additional, It’s important to be consistent in terms of the length of
the program (e.g., six months or a year) and frequency of meetings.

Support and resources that are available on an ongoing basis:

Offer guidance to mentors and mentees regarding goal-setting, effective communication, and the
management of the mentoring relationship. In order to resolve issues and ensure success,
mentors, mentees, and program coordinators require clear contact routes. Assist the mentoring
journey by offering resources such as workshops, online tools, or access to relevant information.

Building a mentorship culture:

Get leadership’s support and endorsement for the initiative to obtain buy-in. The significance of
their participation is strong. It is important to give acknowledgement and rewards to honor
program milestones that have been achieved and to recognize successful mentoring partnerships.
To maintain the program’s effectiveness, ask participants for their opinions through surveys or
interviews on a regular basis.

4. To create a more welcoming atmosphere and avoid similar circumstances for incoming
students, the department can make a number of policy changes.

Improved Communication Channels:

Create a culture that normalizes help-seeking by allowing students to feel comfortable asking for
help from faculty advisors or program staff. Open office hours could be utilized to provide
students with dedicated time to drop in and discuss challenges without appointments. Student
mentoring programs connect them with faculty or alumni mentors who can offer guidance and
support. Workshops on communication skills are designed to equip students with better
communication skills to effectively express their needs and concerns. Creating systems to
recognize issues before they become serious is a possible strategy for early intervention strategies.
Regular meetings with advisors are held to discuss wellbeing and academic success. Student input
on workload, support services, and program structure is collected through anonymous surveys.

Adaptable Educational Choices:

Give students easy-to-follow procedures if they need to take time off for personal or medical
issues. This prevents them from putting their academic reputation at risk and allows them to
concentrate on their circumstances. Allowing some leeway in the completion of tasks or tests can
show empathy and understanding when there are extraordinary circumstances. If you’re a student
who’s having trouble completing your courses the conventional way, examine your options for
completion by changing tasks or extending the project.

If a student is encountering emotional or personal troubles, suggest and provide easy access to
resources like health facilities, counseling services, or support groups. Provide workshops to
students to aid them in mastering efficient time management techniques to balance their personal
and academic obligations. In order to avoid unwarranted financial strain that could affect their
academic performance, students need strong financial assistance guidance.

Creating an environment that is supportive:

Faculty Education can assist faculty advisers in handling delicate conversations and identifying
signs of student distress. Student well-being can be stressed by raising the topic of self-care during
class discussions. This may inspire students to prioritize their mental and emotional well-being.

By implementing these improvements, the department can create a more encouraging learning
environment where students can ask for help and have access to tools to handle difficult situations.
By preventing such incidents in the future, this can assist in promoting student achievement.
